How you’ll make an impact:
The Administrative Assistant provides dependable, organized, and detail‑focused support for SVP, Retail, and four Regional Vice Presidents (RVPs) who oversee approximately 900 stores across the United States and Canada. This role is ideal for someone who enjoys coordinating schedules, managing logistics, and keeping communication flowing across a large, fast‑paced retail organization.
The role is based in our Buckhead office, with flexibility to manage occasional needs across different time zones and regions. This position combines administrative assistance, communication skills, and light data management to support the leaders in overseeing their teams and territories effectively.
Administrative Support & Calendar Coordination 50%
- Manage calendars for the SVP and RVPs scheduling across multiple regions and time zones, anticipating changes and proactively adjusting schedules as needed.
- Coordinate domestic and international travel arrangements, itineraries, and accommodations.
- Prepare and submit expense reports with accuracy and timeliness.
- Organize regular meetings, conference calls, and touchpoints with District Managers (DMs) and store leadership teams, ensuring timely action on deliverables.
- Coordinate and plan logistics for town halls, team events, store visits, trainings, holiday celebrations and other leadership visibility initiatives both in person and virtually.
- Handle meeting coordination needs such as reserving conference rooms, arranging food or catering, booking restaurants, and securing off‑site meeting spaces to ensure smooth team gatherings.
Communication Support 40%
- Assist in preparing presentations, reports, and meeting materials for leadership discussions.
- Conduct light data review to create simple spreadsheets, visuals, or summaries.
- Capture meeting notes, track action items, and ensure follow‑up across multiple leaders.
- Coordinate cross‑functional communication between the SVP/RVPs and internal partners.
Special Projects & General Support 10%
Support ad hoc projects requiring research, coordination, or information gathering.
Assist with time‑sensitive requests during peak business periods or leadership travel.
Provide general administrative support to ensure smooth operations across the Retail leadership team.

Must have:
- Strong organizational skills with the ability to manage multiple tasks, deadlines, and details in a fast‑paced environment.

- Strong written and verbal communication with a focus on clarity and accuracy.
- Comfort with routine problem‑solving and the ability to identify straightforward solutions or escalate when needed.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); ability to create simple spreadsheets and presentations.
- 3–5 years of administrative support experience in a corporate or multi‑leader environment preferred.
- High school diploma or GED required; additional coursework or certifications in office administration are a plus.
Preferred skills and experience:
- Prefer domestic and international travel planning experience
