Office Administration (50%)
o Provide all administrative services in the office
o Direct execution with selected/nominated vendor for the following services including but not limited to:
o General office cleaning
o Pest control
o Monitor and order related office supplies
o Maintain & prepare a weekly car schedule for all associates and visitors
o Organize and oversee schedule/emergency maintenance and inspection programs with selected/nominated service providers, including price negotiation and comparison upon renewal of contracts:
o A/C system - Inspection and filter cleaning
o Electrical System - Routine visual inspection to entire installation, functional test for all sockets installations and Major inspection
o Emergency repair work
o Ensure third party contracts are up to date
o Source for option of office supplies, furniture and equipment, and other consumable items for management decision
o Assist in the implementation of all new administration related policies
o Conduct office administration training for newly hired staff
o Ensure good control of office and pantry supplies with regular inventory
o Provide full administrative support to management in all ad hoc projects, such as office relocation, office renovation, sample sale, training seminars and other meetings or event and staff activities
o Assist in organizing company events such as luncheon, dinner or refreshment
o Organize fire evacuation drill exercise
Receptionist Function (10%)
o Support duty at reception to provide and maintain a professional front office greeting area with warm and nice hospitality
o Documentation for sending samples/documents to overseas
o Distribute parcels to the related departments
o Outgoing email registrations
Travel Booking (10%)
o Prepare flight ticket and hotel bookings for staff - domestic and international
o Prepare monthly report on travelers
Support for Finance (10%)
o Gather invoices from office expenses and staff claims for Bangladesh weekly payment log
o Assist in working with local consultants to submit statutory filings
o Maintain a good record of accounting documents
o Communicate with local vendors to obtain documents upon request
o Collect bank encashment certificate
o Support any Ad Hoc projects as assigned.
Support for IT (5%)
o Physical setup of IT equipment as per IT instruction
o Assist in IT inventory control as per IT instruction
India office
Office Administration (5%)
o Order related office supplies
o Ensure third party contracts are up to date
o Source for option of office supplies, furniture and equipment, and other consumable items for management decision
Travel Booking (5%)
o Prepare flight ticket and hotel bookings for staff - domestic and international
o Prepare monthly report on travelers
Support for Finance (5%)
o Gather invoices from office expenses and staff claims for India weekly payment log
o Support on CXC expense report for reimbursement of offshore contractor colleagues
Job Specifications:
o Graduation in any discipline from any reputed university
Education in Business Administration and Finance, have knowledge in tax/bank regulations, statutory accounting in Bangladesh will be an added value
o Proficiency in Microsoft like Excel, PPT and Word
o Experience of working with related sectors in office administration
o Experience to work on finance related job
o Good in English; speaking and writing
Minimum 3 years relevant work experience, preferably with MNC in garment industry
