Essential Job Functions:
As a Sample Coordinator you will support Product Development, Sales and Marketing processes by providing excellent organizational and administrative support. PD/Samples Coordinator will manage all sample ordering, packing, organizing and distribution for multiple busy, deadline-oriented teams. PD/Sample Coordinator will handle shipping/receiving duties for total company as needed. Position also entails digital file structure and collaboration software set-up and maintenance, plus other administrative support responsibilities, while learning the product development process.
70% Sample Coordination
Ordering, tracking, and distributing samples from overseas vendors in support of Design/PD process, as well as Sales & Marketing needs.
Consolidating samples and other materials in NY office, packing, shipping and tracking as needed to meet photoshoot, marketing, sales and other deadlines.
Ordering production goods from domestic distribution centers for various departments and purposes, plus tracking to ensure business needs are met.
Organizing many samples within limited space in our NYC office, lending out as needed, and tracking to ensure interdepartmental needs for sample access/use are met.
Managing packing/shipping materials to ensure adequate supplies are on hand to support all teams’ needs.
Managing the photo sample process between NY office and Atlanta-based studio. As well as marketing lifestyle photoshoot.
Managing spare parts procedure, including coordinating needs between US-based Consumer Affairs team, International team and China office.
Managing approvals review process for items in development.
Photographing and cataloging samples during development.
Managing invoices for relevant expenses.
Assisting in showroom set-ups as needed, including ordering product, setting and re-setting to meet business needs.
20% File management
Organize and maintain digital file structure and collaboration platform, including creation of new project folders/pages and archiving files at project completion.
Assist in creating forms needed for import and other teams as needed.
Support design team by organizing and maintaining the materials library.
10% Research and Administration
Research and purchase competitive samples as needed.
Additional admin duties and PD support as required.
Knowledge, Skill and Ability Requirements:
4-year degree
0-2 years of experience in CPG product development
Excellent interpersonal, communication and organizational skills and attention to detail
Proficient in Microsoft Office
Experience with Adobe Illustrator preferred
Children’s product experience a plus
Ability to lift 40 pounds on a regular basis
Compensation for this position ranges from $25 - $30 based on experience
