HOW YOU’LL MAKE AN IMPACT:
This role supports Product Development, Sales, and Marketing processes by providing excellent organizational and administrative support.  The Sample Coordinator will manage all sample ordering, packing, organizing and distribution for multiple busy, deadline-oriented teams. This role will handle shipping/receiving duties for total company as needed plus buyer meeting and trade show support. This position also entails digital archiving and organization, plus other administrative support responsibilities, while learning the product development process. This role typically reports into the Sr Manager, Product Development and is expected to be office 4 days a week.

70%: Sample Coordination 

  • Ordering, tracking, and distributing samples from overseas vendors in support of Design/PD process, as well as Sales & Marketing needs.
  • Consolidating samples and other materials in NY office, packing, shipping and tracking as needed to meet photoshoot, marketing, sales and other deadlines.
  • Ordering production goods from domestic distribution centers for various departments and purposes, plus tracking to ensure business needs are met. 
  • Organizing many samples within limited space in our NYC office, lending out as needed, and tracking to ensure interdepartmental needs for sample access/use are met.
  • Managing packing/shipping materials to ensure adequate supplies are on hand to support all teams’ needs. 
  • Managing the photo sample process between NY office and Atlanta-based studio.  
  • Managing spare parts procedure, including coordinating needs between US-based Consumer Affairs team and China office. 
  • Assisting in showroom set-ups as needed, including ordering products, setting and re-setting to meet business needs. 
  • Support sales and marketing teams in ordering, organizing and shipping all samples and other materials needed for international and domestic trade shows.
  •  Managing invoices for relevant expenses.

20%: File Management 

  • Organizing and maintaining digital file structure and collaboration platform, including creation of new project folders/pages and archiving files at project completion.
  • Assisting in creating forms needed for import and other teams as needed. 
  • Supporting design team by organizing and maintaining the materials library.

10% Research and Administration 

  • Researching and purchasing competitive samples as needed.
  • Supporting additional admin duties as required. 

WE’D LOVE TO HEAR FROM YOU IF:
Must have:

  • Must be able to lift 30-40 pounds 
  • Strong organizational and interpersonal communication skills
  • Strong attention to detail 
  • Proficient in Microsoft Suite 

Preferred skills and experience:

  • 0-2 years of experience in CPG product development 
  • 4-year degree preferred 
  • Children’s product experience is a plus 
  • Compensation for this position ranges from $25 - $30 based on experience
