ESSENTIAL JOB FUNCTIONS (TASKS, DUTIES AND RESPONSIBILITIES MOST IMPORTANT FOR THE JOB)
HR Administration/Compliance- 80%
* Lead all HR related record keeping tasks; maintain HRIS and employee personnel files and progressive tracking, assist with HR special projects and presentations.
* Coordinate exit process and paperwork (separation paperwork, PA, system access notification)
* Prepare and submit PA forms for personnel changes (hires, terminations, changes, etc).
* Maintain files according to the retention policy.
* Assist and support leaders in attendance notifications and ensure Company Attendance Policy is adhered and maintained.
* Provide administrative support to HR team as needed.
* Monitor employee timecards and auditing for pay accuracy, submit bonus and additional pay to payroll, submit and respond to partial unemployment claims.
* Participate in company wide required compliance audits, including I-9 reverifications, and required posting where needed.
* Proactively identify and propose process improvements to create efficiencies where possible
* Ensure corporate standards, as well as Human Resources standards, policies, and compliances are consistently upheld.
Employee Relations/Engagement- 20%
* Develop partnerships with employees, leaders, HR partners (i.e. payroll, benefits, shared services), and assist in resolution of employee issues (i.e. benefits, payroll, policy questions). First point of contact for employee questions regarding policy, benefits, etc.
* Support Employee Relations activities including recognition programs, community, and engagement activities.
* Prepare and publish monthly birthday lists
* Track nonexempt corrective action and/or performance counseling documents
* Support special assignments and projects as assigned
* All other duties as assigned.
KNOWLEDGE, SKILL AND ABILITY REQUIREMENTS MINIMUM COMPENTENCIES REQUIRED FOR JOB ((PERFORMANCE)
* Must have been successful in building strong professional partnerships, problem solving and utilizing various resources
* Must have excellent written and verbal communication skills.
* Proven ability to manage multiple clients, priorities, deadlines, and initiatives
* Proven exceptional customer service, follow-up, organizational skills and high attention to detail
* Ability to collect data, establish facts, and draw valid conclusions; solve problems with abstract and concrete data.
* Working knowledge of Microsoft Word, PowerPoint, Excel,
* Self-motivated; detail-oriented; strong sense of urgency; excellent organization, prioritization, and time management skills; ability to handle multiple tasks simultaneously and collaborate and function as a member of a team
* Experience with HR information systems is a plus
* Must be available to work in a multi-channel, multi-shift distribution environment, flexible to work different shifts and extended hours based upon business needs.
* Must be able to stand and work for long periods including daily overtime, holidays and overtime as required.
* Requires intermittent periods during which continuous physical exertion is required, such as walking, standing, stooping, climbing, lifting material or equipment, some of which may be heavy or awkward.
* Must be able to repetitively lift cases weighing up to forty pounds.
* Must be able to work in varying temperatures.
* Holiday schedule to be decided by Management.
* Comply with Blackout Periods (no vacation or personal time allowed) as determined by Management.
PRIOR WORK EXPERIENCE AND EDUCATION REQUIREMENTS
* High school diploma or general education degree (GED); minimum of two years of Human Resources, administrative, or customer service experience preferred.
SECONDARY FUNCTIONS/BUDGETARY (IF APPICABLE - ANY DUTIES NOT CONSIDERED ESSENTIAL)
PHYSICAL AND WORK DEMANDS
* Regularly required to walk, stand, sit, hear, talk, reach with hands and arms, and use hands to finger, handle, and feel; occasionally required to kneel, stoop, crouch, crawl, and move and/or lift at least 10 lbs.; requires close vision, color vision, depth perception, and focus adjustment.
* Ability to work a flexible schedule based on company needs, including retail work hours, which may include day, evening, weekends and/or holidays.
* Regular, dependable attendance and punctuality
